Well it has taken a couple of years bu the very famous Exaktime system we know to be called JobClock has just gone live with cloud.

You can now continue to use your existing JobClocks and PocketClock apps but you can push the data to the cloud.

Why push your labour costing data to the cloud?

Simple really, you can now give access easily to project managers on site, any person in the office who needs access without any additional costs. Access is part of the cost of the software.

Weekly the call comes into the office…..”we have several very remote locations where there is no internet and no telephone connectivity, we really need to move away from the paper time sheets, can you help us”

Existing JobClock customers have known for years the JobClock system is the ultimate employee time keeping solution for remote locations. The JobClock system has 2 ways to collect data both without internet and both without telephone. Of course in any remote location to go electronic you will eventually need access to internet or telephone if you want to push the data back to a centralised location. I will run through some recent scenarios below.

Scenario 1 – The job site is in a place where the internet and 3G or 4G coverage is intermittent. Any cloud only time and attendance software will fail as the internet just drops off constantly.

Scenario 2 – The job is miles from anywhere, the workers are staying at a local pub and drive 90 minutes to the jobsite and back each day. By the time the employees get to the work site they have no internet and no telephone service. Only way to communicate is back at the local pub each night.

Scenario 3 – The job site is so remote a site shed with beds is taken to location, the workers work through the week only coming away from the job site each weekend.

We have 2 ways to collect the data

JobClock Hardware

The JobClock hardware can go onto any long term job site. The device is weather proof, can be chained to a fence or site shed.

Collection Method

Any supervisor or manager can stand in front of the JobClock hardware and collect the data with a blue tooth phone. You can then drive back to the local hotel, main office, remote office or nearest place where you have 3G or 4G coverage including any free wifi locations to send the data back to the office.

PocketClock App

The PocketClock app loads onto any iPhone, iPad, Android, Windows Mobile, Blackberry Smart Phone. This is one of the rare apps on the market for employee time collection that actually works offline. Nearly all cloud solutions fail when the internet is lost or not available.

The PocketClock app will hold all the data being collected until you can give the device to the nearest wifi, internet, 3G or 4G connection.

Collection Method

Any supervisor or manager can push the data back to the office at the end of each day, week, fortnight or month when near a wifi, internet, 3G or 4G connection.

Time is critical when it comes to construction. You’ve got deadlines to meet and projects to finish, and if you’ve got workers starting late or wasting time driving supplies around or chasing paperwork, it becomes harder and harder to meet your goals.

The no-fee-GPS feature of ExakTime Mobile will help you keep an eye on your workers and job sites. GPS time tracking gives you the features you need to manage time more efficiently, saving you money now and later.

Here are three ways our GPS feature will help your business excel.

Keep an Eye on Employees
All contractors have employees in the field, but it can be hard to keep track of who is where. When you use ExakTime Mobile as your time clock, each worker’s clock-in and clock-out will be GPS stamped. You can go back and make sure employees were actually at the job site when they said they were. If they weren’t, a red flag will appear in their time record.

Easily see the history of an employee’s clocking’s with the option of turning on the feature to take a photo each time the employee signs in and out at the start and end of the day as well as when they change tasks or cost codes.

With a PIN required for clock-in and a photo biometrics option available, time card fraud is no longer an issue.

Supervisors and Managers get access to a company wide map giving instant visibility on the map showing where every worker last clocked in. This tool is a great feature in the office when you get the call from the customer asking where Sam is. You can simply look at the “Team View” mapping software and you can see if Sam has already left the last job and how long he has been traveling for.

Efficiently Dispatch to Sites
When a job site needs help, it’s easy to dispatch a crew to that location with GPS tracking. If location A needs an extra worker or two, you can quickly check nearby job sites to see how many employees are at each one. If location B is close and has a surplus of workers, you can dispatch a few of them to the new job site.

What normally might have taken a few phone calls and some mapping now takes just a minute.

Supervisors or managers can manage this out in the field while admin staff in the office can also have access to manage these situations.

Deliver Supplies Quickly

You can efficiently deliver supplies to your crews using GPS time tracking because you’ll know exactly where they are. Crews are often on the go, and when they message for more lumber or equipment, you’ll know where to head.

Your time is valuable. GPS time tracking will increase the efficiency of your business, saving you time and money. You can watch your company grow from your smartphone thanks to the easy-to-use GPS feature on ExakTime Mobile.

Book in a demonstration

It was during a recent demonstration that this opportunity to use the employee contractor management system to assist with company marketing was bought this to my attention. During a conversation and a demonstration of TimeSummit time and attendance software we were talking about the GPS points collected from employees clocking in and clocking out each day through the PocketClock app. The PocketClock app is downloaded from the app store, works on iPhone, Windows mobile and Android. Once the app is downloaded simply ask your employees or contractors to start clocking in and clocking out on each jobsite.

Of course the software is designed to collate all the employee and contractor data into one data base no matter how many employees or contractors you have out in the field using the apps. You can also have one app installed on an iPad or Android Tablet allowing multiple people on one job site to clock in and out with one single sign in kiosk.

While talking to Harry, Raff and Giovanni during the demonstration it was Raff who spotted the opportunity to use the employee and contractor time and attendance data to observe possible marketing opportunities. Raff explained as he was looking at an example report with two weeks of data collected by employees and contractors checking in and out on location at each job site that he would like to know what would happen if the report was run over 12 months? Raff went on to explain that if he could see 12 months of data on a map showing every clocking made on every job site that he could easily see where the majority of his work was coming from.

Raff could see how on a map having the data plotted from every job site over 12 months that he could actually predict where he should be spending his marketing dollars in the future seeing suburbs and towns that were giving him lots of work. Sure we all have gut feeling about this stuff but imagine have the information to support your gut feeling and imagine not paying thousands of dollars for a fancy predictive marketing system.

Imagine seeing quickly where the hot suburbs or towns were that you were servicing throughout the year, giving you the opportunity to spend the appropriate marketing dollars to generate even more sales in the area.

I thought the idea by Raff was so good I had to firstly reward Raff and his team which I did and then I knew I just had to blog about the idea.

If you have been following our blog for some time, you likely already know what the benefits of such a system are. But this refresher should get you thinking about how you can tighten your belt to make payroll and hour tracking even more efficient and accurate.

Accurate payroll – when a system is automatically generating accurate data about the hours worked, their pay cheques should automatically be correct every single time with no missing hours!

Less opportunity to forget to clock in or clock out – when a manual system is used, it’s hard to remember to sign in or out. However, a portable time clock is always with the employee, and therefore, it is much harder to forget to sign in or out. Often, it is a company’s policy to skip paying an employee that regularly forgets to sign in for their working shifts.

Lack of debate with over time – even salaried employees can benefit from the use of a portable time clock system, as they can track their overtime hours, which can be a subject of debate in many companies.

Regardless of the type of business that you operate, calculating labour costs is an essential part of the process. Your labour costs factor into the big financial picture of any business. The target percentage does vary by business and a number of other factors. However, some things that always need to be considered when it comes to keeping labour costs on track.

A focus on time management skills – labour costing involves knowing how to do the math correctly, and planning the weekly schedule accordingly. In order to meet these targets, you have to set realistic goals regarding what can be accomplished in a designated period of time. If you calculate your labour cost percentages at 3 hours, and the task really takes 6, then you will find yourself in trouble. Completing training before beginning any new project type can also help keep costs low if staff are functioning more efficiently.

Hire based on experience – while you might be tempted to hire someone less experienced, ultimately, experience can mean that work is done more efficiently. You may pay a higher per hour rate, but still ultimately save money in the end, which is essential to keeping labour costs on track.

Price supplies competitively – the overhead costs you require to keep your business going can be shopped for in a smart fashion. The costs of these necessary items also play a role in your labour cost targets.

Enter your employee number, select Go, choose a jobsite and optionally select your cost center – It is that easy!

Labour Costing employees for anybody who has tried is one of the most challenging employee time collection problems in any business today that needs good, correct, current employee labour data broken down.

After talking to hundreds of businesses over more than a decade I understand the challengers you face. From all the discussions I have had with a wide selection of industries the single biggest challenge is actually collecting the data in the first place.

The biggest single challenge for labour costing is employee data collection
The correct collection of the employee labour costing data will determine the success of the output at the end of the process. PocketClock from the JobClock range of products makes collecting employee labour costing data easier than ever before. In the past we have always tried to collect data with hardware, asking employees to manage making the correct selections on job and cost center with small difficult employee time clock menus. Making this process of labour costing time collection even harder was the difficulty created and time lost when employees had to work to far to get to the time clock to register the change of job or change of cost center.

With the release of Smart phones including iPhone’s, Android and Windows Mobile, iPad’s and Tablets it is now even easier to collect employee labour costing data. PocketClock is an app that can be downloaded to an iPhone, iPad, Tablet etc. Once downloaded PocketClock can be used by one person or many people.

See More, including what payroll systems we integrate with….

Labour Costing on a Smart Phone
On an iPhone, Android and Windows Mobile the most popular way an employee or contractor can use the phone is to check in and out at each job, selecting cost centres is optional. You can also take a photo, record notes and record a voice message all of which go back into the software centralised at head office.

Labour Costing on an iPad or Tablet
On an iPad or Tablet we can set some default settings that allow many employees to use the one single App, each employee once they have clocked against the job and optional cost centre the screen automatically defaults back to the main logon screen ready for the next employee. iPad’s and Tablets are far more flexible than employee time clocks for labour costing, easy to move and much lower cost than traditional employee time clocks.
